{"id":441,"date":"2020-12-03T17:22:02","date_gmt":"2020-12-03T22:22:02","guid":{"rendered":"https:\/\/beomniscient.com\/?p=441"},"modified":"2025-05-11T10:16:16","modified_gmt":"2025-05-11T14:16:16","slug":"how-to-create-a-content-calendar","status":"publish","type":"post","link":"https:\/\/beomniscient.com\/blog\/how-to-create-a-content-calendar\/","title":{"rendered":"How to Create a Content Calendar: Free Template"},"content":{"rendered":"\n<p>You\u2019re probably at a point where you are ready to start publishing content regularly and need to streamline your workflow.&nbsp;<\/p>\n\n\n\n<p>To do so, you will need a <strong>systematic process<\/strong> to keep you and your team on track and ensure efficiency.&nbsp;<\/p>\n\n\n\n<p>Producing content consistently requires a good mix of <strong>ingenuity and organization.&nbsp;<\/strong><\/p>\n\n\n\n<p>It\u2019s difficult to unlock creativity in a world of chaos. Dedicate some time upfront to building a content calendar, all in the name of <strong>long-term growth.&nbsp;<\/strong><\/p>\n\n\n\n<p>To help explain the importance of a content calendar and how to implement one effectively I asked my team, <a href=\"https:\/\/beomniscient.com\/about\/\">Alex Birkett<\/a>, co-founder of Omniscient Digital, and our Head of Content, <a href=\"https:\/\/beomniscient.com\/about\/\">Allie Decker<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-is-a-content-calendar\"><strong>What is a Content Calendar?<\/strong><\/h2>\n\n\n\n<p>A content calendar (or an editorial calendar, the terms are interchangeable) is the mapping of your content marketing strategy, or content plan, onto a visible timeframe with publication and deliverable dates. As Alex puts it:<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-style-large is-layout-flow wp-block-quote-is-layout-flow\">\n<p><em>&nbsp;\u201cThe content calendar is like the handshake between strategy and execution. It\u2019s the project management component of a content marketing program.\u201d&nbsp;<\/em><\/p>\n<\/blockquote>\n\n\n\n<p>You do the research and build your roadmap, and then before you start publishing content, you put it together in a calendar for visibility and to align different team members.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" data-src=\"https:\/\/lh5.googleusercontent.com\/eoNncL5xnbX91n5fEZbWDrYQHY8JhtDWdS-NVPztfwb2dmZ9IoLTZOOoq3xKpdWlSOTOuHtr4wRgKbMKx59GLftXoqr1-qmAKVTjYIP2kVYZ_xETlyhHHEMzBDD-P3IKtEz8gYA1\" alt=\"\" src=\"data:image\/svg+xml;base64,PHN2ZyB3aWR0aD0iMSIgaGVpZ2h0PSIxIiB4bWxucz0iaHR0cDovL3d3dy53My5vcmcvMjAwMC9zdmciPjwvc3ZnPg==\" class=\"lazyload\" \/><\/figure>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>\u201cFor a product manager, it\u2019s their feature roadmap. Or for conversion rate optimization, which is the world I come from, you would do a bunch of research, qualitative surveys, quantitative data analysis and come up with a list of hypotheses and prioritize them. At that point, you\u2019d have a roadmap by which you would operate when you are running experiments. It&#8217;s a communications tool more than a strategic tool. You need something to communicate once you\u2019ve done the work.\u201d<\/p>\n<cite>Alex Birkett, Co-founder of <a href=\"https:\/\/beomniscient.com\/\"><strong>Omniscient Digital<\/strong><\/a><\/cite><\/blockquote>\n\n\n\n<p>Another big reason to have a content calendar is accountability for publishing your work. Allie adds, <em>\u201cIt helps you establish that <a href=\"https:\/\/www.visme.co\/timeline-maker\/\" target=\"_blank\" rel=\"noreferrer noopener\">timeline<\/a> to help you meet your goals.\u201d<\/em><\/p>\n\n\n\n<p>Content calendars will vary from company to company, but they can incorporate everything from marketing campaigns and video releases to course schedules; in some businesses, it may just be used as a blog or <a href=\"https:\/\/planable.io\/blog\/social-media-calendar\/\" target=\"_blank\" rel=\"noreferrer noopener\">social media content calendar<\/a>.&nbsp;<\/p>\n\n\n\n<p>A <a href=\"https:\/\/contentstudio.io\/content-calendar\" target=\"_blank\" rel=\"noreferrer noopener\">social calendar tool<\/a> does more than keep you aligned internally. It also helps public facing properties seem more cohesive. For example, having a product launch on the homepage and then a social media post to correlate with that launch looks good from a customer\u2019s perspective.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-why-do-i-need-a-content-calendar\"><strong>Why Do I Need a Content Calendar?<\/strong><\/h2>\n\n\n\n<p>According to the <a href=\"https:\/\/contentmarketinginstitute.com\/wp-content\/uploads\/2017\/09\/2018-b2b-research-final.pdf\">Content Marketing Institute<\/a>, 62% of successful marketers have a documented content marketing strategy. And <a href=\"https:\/\/beomniscient.com\/blog\/b2b-content-marketing\/\">B2B content marketers<\/a> who do have it documented get better results from their content marketing tactics, social media platforms, and paid methods of content distribution and rate them more effective when compared with peers who don\u2019t have a documented strategy.&nbsp;<\/p>\n\n\n\n<p>Whether you are working solo or in a team, it\u2019s good to have something to look at to see when you should be publishing. It\u2019s a tool that can help you reinforce your strategy at a bird\u2019s-eye view \u2014 something you may miss when you are posting day to day.<\/p>\n\n\n\n<p>If you are working as part of a larger marketing team, it can help you work more cohesively rather than in silos. It can also help to align everyone around a <strong>unified concept, voice, and direction.&nbsp;<\/strong><\/p>\n\n\n\n<p>Allie says, <em>\u201cIf you are including a variety of content [on your calendar], it\u2019s a single source of truth.<\/em> <em>In my experience, people work in silos, and they are meeting their own goals, but a content calendar <\/em><strong><em>avoids overlap, cannibalization in content, and competing noise <\/em><\/strong><em>depending on how you are promoting your content. It pulls everything together.\u201d<\/em><\/p>\n\n\n\n<p>Cross-collaboration is another key benefit of having a view of what everyone is working on. You can discuss crossover opportunities and avoid duplicated efforts.&nbsp;&nbsp;<\/p>\n\n\n\n<p>\u201c<em>It&#8217;s one thing if you have one writer, or a group of freelancers who you are assigning articles to, but if you have a content team, or multiple blog properties then it&#8217;s incredibly important to see what other people are working on. You may have a services blog and a marketing blog and there may be a topic that fits both of those, and to communicate that is important,\u201d<\/em> says Alex.<\/p>\n\n\n\n<p>Alex and Allie recently interviewed <a href=\"http:\/\/tommy.ismy.name\/blog\/\">Tommy Walker<\/a>, a <a href=\"https:\/\/beomniscient.com\/services\/content-strategy\/\" target=\"_blank\" rel=\"noreferrer noopener\">content strategy<\/a> consultant and founder of WalkerBots Content Studios, (formerly at Shopify and Intuit). Through strategic foreshadowing and backlinking in storytelling, he\u2019s figured out how to interconnect an entire narrative beyond just a single article and get readers yearning for more.&nbsp;<\/p>\n\n\n\n<p>You can model what he did and have a content calendar mapped out across time. He builds a whole roadmap based on a singular topic, and each peace builds upon the knowledge of the previous weeks. <strong>[Check out The Long Game podcast\/video for the full interview for more]<\/strong><\/p>\n\n\n\n<p>To recap, a content calendar can do the following:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Keep you and your team accountable for publishing<\/li>\n\n\n\n<li>Align everyone around a unified concept, voice, and direction<\/li>\n\n\n\n<li>Avoid overlap, cannibalization, and competing noise in content<\/li>\n\n\n\n<li>Help you see opportunities for cross collaboration and avoid duplicated efforts<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-does-a-content-calendar-have-to-be-rigid-or-can-it-be-flexible\"><strong>Does a content calendar have to be rigid or can it be flexible?<\/strong><\/h2>\n\n\n\n<p><strong>\u201cEverybody <\/strong><strong><em>has a plan<\/em><\/strong><strong> until they get punched in the mouth\u2026\u201d \u2014 <\/strong><strong><em>Mike Tyson<\/em><\/strong><\/p>\n\n\n\n<p>The idea is to have a good balance between some rigidity to honor what you have planned, while also allowing enough room to be flexible for changing ideas and directions.&nbsp;<\/p>\n\n\n\n<p>When COVID-19 hit in 2020, most organizations had to pivot their marketing strategies and editorial approach in order to adjust to what people cared about at the time. You will also want to allow agility and room for spontaneous campaigns or on-demand assets.&nbsp;<\/p>\n\n\n\n<p><em>\u201c<\/em><em>If you have everything planned in a content calendar, you can coordinate the other pieces such as social media promotions, product launches, and get everything aligned,\u201d <\/em>says Alex. <em>\u201cBut the world doesn\u2019t work that way. You\u2019ll often have ideas that come up in the moment and you need to get those published quickly. If you are working with external writers, or guest writers, maybe you want to slot them in quickly. Things come up and you still want to maintain a publication frequency or cadence.\u201d<\/em><\/p>\n\n\n\n<p>You can decide ahead of time that certain components will be rigid.&nbsp;<\/p>\n\n\n\n<p>For example, if you are building out a larger campaign, topics in that campaign can remain rigid, but pieces within it can move around. It really depends on your goals because you will want to tie them back to your strategy.&nbsp;<\/p>\n\n\n\n<p>Most times, clients prefer to stick to a schedule.&nbsp;<\/p>\n\n\n\n<p>Allie says,<em> \u201cIf I were drafting a content calendar by hand, I would create it with pencil not pen.\u201d<\/em><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-what-do-i-need-before-i-create-a-content-calendar\"><strong>What do I need before I create a content calendar?<\/strong><\/h2>\n\n\n\n<p><em>\u201cIf you don\u2019t have goals before you start, it\u2019s really easy to paint things in a positive light in hindsight.\u201d <\/em>&#8211; Alex<\/p>\n\n\n\n<p>First, you should do some research for your <a href=\"https:\/\/beomniscient.com\/blog\/content-marketing-tools\/\" target=\"_blank\" rel=\"noreferrer noopener\">content marketing<\/a> strategy, and get familiar with your end marketing goals.<em> \u201cGoals not only affect what kind of research and planning you do but they can also affect how your execution plays out, especially if you are sharing your calendar with other teams. It can affect the timing of everything down to how frequently things are spaced out, especially if it&#8217;s a group effort with the campaigns and the content offers. Your goal(s) should be established well before your content is scheduled,\u201d<\/em> says Allie.<\/p>\n\n\n\n<p>The <a href=\"https:\/\/beomniscient.com\/services\/content-research\/\">content research<\/a> component, which we offer our clients here at Omniscient Digital, includes thoroughly <strong>understanding your competitors, industry, and SEO landscape <\/strong>in order to find opportunities to grow traffic through your content. You\u2019ll want to have that mapped out before you start building a content calendar. The calendar itself is the tool you\u2019ll use to communicate your strategy to the rest of the team and put your strategy into action.&nbsp;<\/p>\n\n\n\n<p>If you don\u2019t have marketing goals in mind, you run the risk of cherry picking goals after execution.&nbsp;<\/p>\n\n\n\n<p>Alex says, \u201c<em>I find brand awareness is something people use as an excuse if it doesn&#8217;t drive results. Having goals up front, whether you hit them or not, helps you analyze why you did or didn&#8217;t. It gives you intellectual honesty to review what you\u2019ve done.\u201d<\/em><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-now-you-are-ready-to-build-your-content-calendar\"><strong>Now, you are ready to build your content calendar.<\/strong><\/h2>\n\n\n\n<p>First, you\u2019ll want to choose which tool to use. Here are some potential categories you may use. Modify it to suit your department\u2019s needs.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Campaign theme (if you have one)<\/li>\n\n\n\n<li>Title of the piece: SEO-driven preferably&nbsp;<\/li>\n\n\n\n<li>Channel: Where will this be posted? We are a small team and still growing, so we don\u2019t have to involve multiple departments at this stage. We also don\u2019t have big overarching campaigns just yet. In addition, our particular process is just for internal purposes and isn\u2019t public facing.<\/p>\n\n\n\n<p>Since our focus is mainly on our blog, our YouTube channel, and our podcast, we have it laid out using Asana according to the following categories:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Keyword Research<\/li>\n\n\n\n<li>To Write<\/li>\n\n\n\n<li>To Record<\/li>\n\n\n\n<li>To Edit<\/li>\n\n\n\n<li>To Publish \/ Schedule<\/li>\n\n\n\n<li>Published<\/li>\n<\/ol>\n\n\n\n<p>You can choose different views in Asana, such as list, board, <a href=\"https:\/\/venngage.com\/features\/timeline-infographics\" target=\"_blank\" rel=\"noreferrer noopener\">timeline<\/a>, or calendar. We find the Kanban board view is best and allows us to drag-and-drop pieces of content from one section to another. It looks like this:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" data-src=\"https:\/\/lh4.googleusercontent.com\/t6qP67Rfm8MNOMqdAVSKr9g16HTP1pr9sI89VESeT4Suy3onGPz1X-LKTCUo0aCvqCsVcPyGaUiX6WxZ-pDSSZy_pLRENZiTn9y016XWjvljtFlxI4fMdUpldczh3WGH77AlJsBX\" alt=\"\" src=\"data:image\/svg+xml;base64,PHN2ZyB3aWR0aD0iMSIgaGVpZ2h0PSIxIiB4bWxucz0iaHR0cDovL3d3dy53My5vcmcvMjAwMC9zdmciPjwvc3ZnPg==\" class=\"lazyload\" \/><\/figure>\n\n\n\n<p>Under the first column <strong>\u201cKeyword Research\u201d<\/strong> I\u2019ve laid out a list of SEO terms after doing some digging in Ahrefs. They\u2019re listed there to help spur <a href=\"https:\/\/beomniscient.com\/blog\/content-ideas\/\" target=\"_blank\" rel=\"noreferrer noopener\">content ideas<\/a>. Having this list in Asana isn\u2019t completely necessary, but I like having the ability to see it on the platform.<\/p>\n\n\n\n<p>Under the <strong>\u201cTo Write\u201d <\/strong>section, we have blogs we are currently working on right now. We also use tags to label each blog according to the kind of content it is. The core types of blog content we focus on include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>How to\u2019s or SEO-driven content<\/li>\n\n\n\n<li>Thought leadership<\/li>\n\n\n\n<li>Podcasts (since we like to share our recorded content in written form too)<\/li>\n\n\n\n<li>Case studies&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>You can color-code these tags if you&#8217;d like. For example, this blog you are currently reading, \u201cHow to Create a Content Calendar\u201d is tagged as a \u201cHow To or SEO-driven\u201d blog.<\/p>\n\n\n\n<p>Under the <strong>\u201cTo Record\u201d<\/strong> column we have the episodes of the podcast outlined. We like to record the podcasts on video so that we can repurpose them for YouTube; this way we are maximizing our content for our viewers\/listeners to be able to ingest it how they want. Meanwhile, we are making the best use of our own time.&nbsp;<\/p>\n\n\n\n<p>Next is the <strong>\u201cTo Edit\u201d<\/strong> section. This is where content lives once it&#8217;s ready to be reviewed and\/or edited.&nbsp; If it\u2019s a video, we may need to add a title card or <a href=\"https:\/\/www.movavi.com\/videoeditor\/\" target=\"_blank\" rel=\"noreferrer noopener\">edit the video<\/a> to meet any specific needs. If it\u2019s a blog, it may need a few final revisions from the team.&nbsp;<\/p>\n\n\n\n<p>After final edits are made, the content is ready to be moved over <strong>\u201cTo Publish \/ Schedule\u201d<\/strong> This is where you can assign a date for when to post it, as well as any necessary details. In addition to the blog, will this content be posted to a <a href=\"https:\/\/admeducation.com\/blog\/advantages-and-disadvantages-of-social-media\/\" target=\"_blank\" rel=\"noreferrer noopener\">social media<\/a> platform like Linkedin or Twitter as well? Those details can be added here.&nbsp;<\/p>\n\n\n\n<p>Lastly, after the piece of content has been published, it can be moved to the final column and treated as an archive.<\/p>\n\n\n\n<p>Now that you have your calendar outlined, it\u2019s time to fill it in.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-schedule-a-group-brainstorm\"><strong>Schedule a group brainstorm.<\/strong><\/h2>\n\n\n\n<p>If filling this out on your own seems like a daunting task, you can <a href=\"https:\/\/calendesk.com\/blog\/scheduling-meetings-software-how-to-pick-the-best-one-for-you\/\" target=\"_blank\" rel=\"noreferrer noopener\">schedule a meeting<\/a> with key members of your team to fill out the content calendar together. Discuss ideas, publishing cadence, and roles.<\/p>\n\n\n\n<p>As I mentioned earlier, start backwards. What are your content marketing goals? Is it to attract and convert leads? Build authority? This is a good chance to foresee any roadblocks or obstacles in the future.<\/p>\n\n\n\n<p>Revisit your <a href=\"https:\/\/instapage.com\/blog\/buyer-persona-mistakes\">buyer personas<\/a>. Get clear on who you are speaking to, what their pain points are, and how you can get them to act through your content.<\/p>\n\n\n\n<p>Determine the quantity and cadence. How many posts per day, week, month?<\/p>\n\n\n\n<p>Be sure to sync your calendar with upcoming product launches, courses, webinars, ebooks, etc. What will you want to push out on your channels? What resources will you give away?&nbsp;<\/p>\n\n\n\n<p>You\u2019ll want to build your calendar out far enough in advance to have a glance at bigger campaigns, events, launches down the line, but not too far out that you set unrealistic expectations. Ideally, a calendar built out a few months ahead is ideal.
